1. Scope

This policy explains how CPH Investments, LLC handles personal information collected through chadpharris.com and the property management application at rem.chadpharris.com.

2. What we collect

• Account information — name, email address, company name, and login credentials for the people who use the application.
• Customer content — the property, unit, lease, contact, payment, expense, and maintenance records you enter. This can include personal information about your tenants, applicants, and vendors.
• Billing information — handled by our payment processor. We receive confirmation of payment and limited card details such as brand and last four digits. We do not store full card numbers.
• Technical information — IP address, browser type, pages requested, and timestamps, kept in server logs for security and troubleshooting.
• Correspondence — messages you send us by email.

3. Why we use it

To provide and operate the application, authenticate users, process payments, send service email such as rent reminders and maintenance notifications on your behalf, respond to support requests, keep the service secure, and meet legal obligations. We do not sell personal information, and we do not use customer content for advertising.

4. Roles

For information about your own account, CPH is the controller. For the tenant, applicant, and vendor records you enter, you are the controller and CPH acts as a processor on your instructions. You are responsible for having a lawful basis to enter that information and for telling those people how you use it.

5. Who we share it with

We share personal information only with service providers who need it to run the service: our hosting and storage provider, our payment processor, and our email delivery provider. They are bound to use it only to provide those services. We may also disclose information where required by law or to protect rights and safety.

6. Storage and security

Data is stored on servers in the United States. Traffic is encrypted in transit with TLS. Access is restricted, roles limit what each user can see, and backups are taken on a schedule and retained for a limited period. No system is perfectly secure, and we do not claim otherwise.

7. Retention

We keep account and customer content for as long as your account is active. After termination, data is retained for a limited period so it can be recovered or exported, then deleted, except where we must keep records to meet legal, tax, or accounting obligations.

8. Your choices

You can access and correct most information directly in the application. You may request a copy of your data, ask us to delete it, or object to certain processing by emailing us. If a tenant, applicant, or vendor asks us about information a customer entered, we will refer them to that customer.

9. Cookies

The application sets cookies that are necessary for it to work, including session and security cookies. We do not use advertising cookies or third-party tracking on this website.

10. Children

The service is for business use and is not directed to anyone under 18.

11. Changes

If we change this policy we will update the date above and, where the change is material, notify account holders by email.
